Terms and conditions for Individual Registrations

These terms and conditions apply to each attendee for 3rd World Congress on 3D ultrasound in Obstetics and Gynecology.
Attendee means any Contract Partner (individual person or entity) entering into a contract with the Pro Optimus Tours d.o.o. (organizer).
All references to a date or a deadline, mentioned in this and other conference documents, refer to the Central European Time Zone (CET).

WHAT IS EXTERNAL PARTICIPATION FEE?
It is charged to attendee who didn’t book hotel trough Congress Organizer. All participants are subject to external participation fee non-regarding of the registration types, unless they book accommodation and registration package.

ACCOMPANYING PERSON FEE
Applies to a accompanying person not attending the Congress, staying in double room with someone or, attending opening ceremony.

Registration Process
Attendees register for the Annual Meeting using the online system on the official website www.dubrovnik3Dcongress2019.com
By clicking the Finish Registration at the end of the online system, the attendee completes the registration process and makes a binding offer to enter into a contract with the organizer.
Only fully completed registrations will be accepted.
Registration must include the name of the attendee; the organizer does not accept blank registrations.
To be entitled to register at the reduced member rate, the attendee has to be from listed countries.
Attendees receive admission to the Scientific Programme, admission to the Exhibition and conference material.
The name badge and all other conference materials will be distributed onsite.

Please be aware that when presenting the barcode on your name badge for scanning at an exhibition stand the following data can be retrieved: first name(s), last name(s), country and area of interest.

 

Invoice
The attendee will receive an automatically generated invoice that confirms completion of the registration process. The registration contract becomes effective with receipt of the invoice.
In case of a mistake made by the online registration system, or mistake on automatic invoice made by the system during the registration process, organizer has the right to make a correction and send new invoice with correct amount, compared to the officially displayed fees and package prices in FEES section on web page. Also, if the system calculates more than it is in official prices displayed in fees, by mistake during online registration process, attendee has the right to contact organizers and ask for reduction of the invoice.
Invoices are due on date of issue.

 

Methods of payment
Payment can only be made in Euros.
Payment should be made by bank transfer or with credit card.
When paying by bank transfer, bank charges are the sender`s responsibility. The family name and the invoice number of the attendee must be used as reference.
Depending on type of the credit card administrative fee may apply.

 

Confirmation of registration / receipt
Registration is confirmed upon receipt of payment and confirmation is sent by email. If full payment has not been received within 7 days after registering, the data will be deleted.
Registration confirmation / receipt (incl. barcode voucher) is sent by email. Attendees are asked to present their barcode voucher together with their ID at the “Registered delegates” counter onsite at the congress venue.

 

Letter of Invitation
An official invitation from the organizer is available on request, to assist you in obtaining a visa.
This document does not imply any commitment on the part of the organizer to waive the registration fee or provide financial support.
Please note that we have an agreement with the Foreign Office to issue a “Letter of Invitation” only for registered delegates who have paid their registration fee in full.
If your visa application is declined – for whatever reason – the congress organizers cannot be held liable for any incurred expenses, such as registration fees, accommodation, travel, financial losses, etc.
Please check with your local embassy what documents are needed to apply for a Croatian visa.

 

Fraudulent usage
It is strictly NOT permitted to amend, copy or edit any document issued by 3rd World Congress on 3D ultrasound in Obstetics and Gynecology. To do so will result in legal action taken by 3rd World Congress on 3D ultrasound in Obstetics and Gynecology.

 

Name change
Name changes are permitted. Fee of 100 EUR applies.

 

Cancellation policy
Canceling

If the registration is cancelled by the attendee for reasons which the organizer cannot be held responsible for, the following applies:
Cancellations must be sent in writing to: congress@pro-optimus.com
You will receive a written cancellation acknowledgement from the 3rd World Congress on 3D ultrasound in Obstetics and Gynecology Registration Department.
If you cancel before August 01st, 2018, you will be refunded 50% of your registration fee.
If you cancel on or after August 2nd, 2018, you will not be eligible for a refund.
Credit will not be given for unattended events or early termination of the delegate`s attendance.

 

Can I send a substitute in my place?
You may send a substitute in your place at any time. Name changes are permitted. Fee of 100 EUR applies.

 

Refunds
All refund requests (also in the case of over or double payment) must be sent per email to congress@pro-optimus.comReimbursement payments can be claimed at time of cancelation. All the refunds will be made after the end of the event.

 

Name badge replacement
The congress name badge must be worn at all times during the 3rd World Congress on 3D ultrasound in Obstetics and Gynecology.Access to the congress center will not be granted without the official name badge. If an attendee loses or misplaces the name badge, a handling fee of Euro 50 will be charged for a replacement badge. Upon handing out a new name badge, the original badge will be de-activated and is invalid.

 

Onsite group registration pick up
Onsite group registration pick up for group’s leaders will be available upon request.Group registration pick up will be available from 19.03.2019. It is important to request a meeting on email congress@pro-optimus.com Time and contact person will be assigned to you for pickup of materials.

 

Modification of the programme
The organizer will make all efforts to adhere to the programme advertised. However, the organizer and its agents reserve the right to alter, replace or cancel, without prior notice, any of the speakers or arrangements announced, provided that the overall character of the event remains unaffected. The organizer will inform the attendees to that effect immediately by publishing details of the modification on the website. If those modifications are caused by any factor outside of the reasonable control and the responsibility of the organizer (e.g. a speaker is suddenly prevented from attending, any unforeseeable disruption at the venue), the organizer will not be liable for any loss or inconvenience caused as a result of such modifications.

 

Cancellation of the congress
The organizer reserves the right to withdraw from the contract in whole or in part and to cancel the 3rd World Congress on 3D ultrasound in Obstetics and Gynecology if the performance of the same is impossible due to force majeure or other unforeseen incidents outside its responsibility including, without limitation, strike, lock-out, natural disasters, terrorism, riots, war, disorder, and acts of public authorities.

The organizer will inform the attendees to that effect immediately.In this case, the organizer cannot be held liable by the attendee for any damages, costs, or losses incurred, such as transportation, accommodation, costs for additional orders, financial losses, etc. caused by the slight negligence of the organizer, its legal representatives or vicarious agents. Apart from that, the limitation of liability according to Section 12 remains unaffected. Under these circumstances, the organizer may refund the registration fee. The organizer reserves the right to deduct any costs from the registration fee which have already been incurred for the organization of the 3rd World Congress on 3D ultrasound in Obstetics and Gynecology and which cannot be recovered from third parties.
